How InstaMap handles your data

Last updated October 14, 2026

InstaMap stores the details needed to run your account. These include your profile, team membership, items, Wishlist, market activity, messages, photos, scan results, and safety-review records.

Microsoft Entra External ID and linked sign-in services handle sign-in. You may use email and a password or a service such as Google. InstaMap does not store new account passwords. These services may use your sign-in ID, their own user ID, and email-check results. This helps us link your sign-in to your InstaMap account.

A photo may contain extra details, called metadata. These can include when it was taken, the camera or device, edits, and location, if the file holds them. InstaMap may use the file and these details in private. We use them to process photos, prevent fraud, check reports, settle disputes, and keep the market safe. Azure stores photos and supporting records. Azure AI Vision may also read text in scan photos. Scan results help us find catalog matches and improve the app. We record the matches offered and which you chose or skipped. These match records hold catalog entries and scores, never your photo. We keep them for up to 24 months. They are deleted with your account or space.

Other users get smaller photo copies with the extra file details removed. If we keep an original as a record for an item or sale, it stays in separate, private storage. Only staff with permission and a work reason can open it. Each visit is recorded in a change log. We keep originals and their extra details only for the time needed for item records, sales, disputes, fraud checks, or a legal hold that pauses deletion.

Team data belongs to that team’s space. Owners and admins manage its members and settings. We keep market chats, offers, and reports so we can check sales and safety decisions.

Children’s privacy. Children under 13 need an account managed by a parent on a Family plan. We check the parent’s consent. Child accounts have messages turned off, a trade-only market, and purchases approved by a parent. See our Children’s Privacy & COPPA Notice for details and parental rights.
